  • No lead left waiting

The agent replies as soon as the notification from Idealista, Fotocasa, Habitaclia or pisos.com arrives, at night too.

  • It does not make the property up

It replies with what the file says. If they ask something that is not there, it tells you what is missing.

  • If it is no longer available

It says so and offers two similar ones from your portfolio, in the same area and at a similar price.

How to roll it out from scratch.

The order to set it up in a company. The first-steps guide does much of it with you, one question at a time, and everything can be changed later.

01Groundwork

  1. 01

    Create the organisation

One organisation for your agency, with a seat per person. What is set up inside belongs to the company, not to whoever set it up.

  2. 02

    Connect the central account

The email and cloud of your agency, on Google or Microsoft, with the permissions you choose one by one. The organisation's agents work with it.

  3. 03

Tell it where the data is

Genki reads the sheet or the software where you already keep it. If it is not organised, it creates the sheet with the columns it needs.

Where do you keep properties and leads?

    • In an Excel file
    • Attio, Airtable, HubSpot, Inmovilla…
    • Across email and the portals

02Knowledge

  1. 04

    Load the Library

A collection with what the team looks up every day. If it is in a Drive or OneDrive folder, it is linked and kept up to date.

Property filesUpload the details, registry extracts and certificates for each property. The agent answers with what is written here and does not make up the rest.
  2. 05

Create the voice of your agency

Explain how it should sound and give it your style guide and a few emails. The agents write with it.

    • The agency's voice

03Automation

  1. 06

    Set up the agents

Each one does one specific flow. You answer a few questions, one at a time, and review how it looks before creating it.

Lead response Answers portal enquiries with the property details and proposes a viewing. It wakes up with notifications from Idealista, Fotocasa, Habitaclia and pisos.com.

    What it asks you

    • Where do your enquiries come from?
    • What do you note down about each lead?
    • What do you reply?
    • When do you show properties?
    • If the property is already reserved or sold…
  2. 07

    Schedule the tasks

What has to happen at a fixed time, without anyone having to remember.

Lead follow-upEvery weekday morning it tells you who needs another message.

04Team

  1. 08

    Invite the team

Each person joins with their seat. They share the agents, the tasks and the Library, and have their own Genki for their day too.

  2. 09

    In the first week, fine-tune

Every run stays in its history, step by step. Whatever does not come out as you wanted is changed from the agent's page, without starting again.
