  • Answers with a source

Every answer cites the document and the section. If it is not in the Library, it does not make it up and passes it to you.

  • The sensitive, to you

Someone's salary, a sanction, sick leave or the ethics channel it never answers. It passes them to you without a reply.

  • No health data in the sheet

In the type of absence it never logs the reason or medical details, and it never judges or compares anyone.

How to roll it out from scratch.

The order to set it up in a company. The first-steps guide does much of it with you, one question at a time, and everything can be changed later.

01Groundwork

  1. 01

    Create the organisation

One organisation for your company, with a seat per person. What is set up inside belongs to the company, not to whoever set it up.

  2. 02

    Connect the central account

The email and cloud of your company, on Google or Microsoft, with the permissions you choose one by one. The organisation's agents work with it.

  3. 03

Tell it where the data is

Genki reads the sheet or the software where you already keep it. If it is not organised, it creates the sheet with the columns it needs.

Where do you keep your staff list?

    • In an Excel file
    • Personio, Factorial, Sesame…
    • Nowhere in particular

02Knowledge

  1. 04

    Load the Library

A collection with what the team looks up every day. If it is in a Drive or OneDrive folder, it is linked and kept up to date.

Handbook and policiesUpload the employee handbook, your policies, the holiday calendar and any answers you already have to the usual questions. Without them, the agent has nothing to answer with.
  2. 05

Create the voice of your company

Explain how it should sound and give it your style guide and a few emails. The agents write with it.

    • People team's voice

03Automation

  1. 06

    Set up the agents

Each one does one specific flow. You answer a few questions, one at a time, and review how it looks before creating it.

Staff questions Answers staff questions from the handbook and policies, and passes personal and sensitive cases to you.

    What it asks you

    • Whose emails does it read?
    • Which topics does it prepare answers for?
    • Does it look up who is asking in the staff list?
    • What does it do with the answer?
Absence log Logs in an Excel file the absences the staff announce by email, holidays included, and corrects them if someone comes back earlier or later.

    What it asks you

    • Does it look up who is writing in the staff list?
    • Does it confirm to whoever wrote what it logged?
    • Does it tell you about every new or changed absence?
CV filing Saves the CVs that arrive by email in “Candidates/CVs”. It neither reads nor judges them.

    What it asks you

    • How does it save them?
    • Does it reply to whoever sent it?
    • What does it call them?
  2. 07

    Schedule the tasks

What has to happen at a fixed time, without anyone having to remember.

Back todayEvery weekday morning it writes to whoever is back today from an absence, and to their manager.

04Team

  1. 08

    Invite the team

Each person joins with their seat. They share the agents, the tasks and the Library, and have their own Genki for their day too.

  2. 09

    In the first week, fine-tune

Every run stays in its history, step by step. Whatever does not come out as you wanted is changed from the agent's page, without starting again.
