  • It works when the email arrives

It does not wait for someone to open the inbox. The agent wakes up with every email from a client on the list.

  • With your own guidelines

It answers with the firm's engagement letter, guidelines and circulars, and cites where each thing comes from.

  • The team reviews, not repeats

Every run stays in its history. Whatever doesn't add up or is sensitive still goes through you.

How to roll it out from scratch.

The order to set it up in a company. The first-steps guide does much of it with you, one question at a time, and everything can be changed later.

01Groundwork

  1. 01

    Create the organisation

One organisation for your firm, with a seat per person. What is set up inside belongs to the company, not to whoever set it up.

  2. 02

    Connect the central account

The email and cloud of your firm, on Google or Microsoft, with the permissions you choose one by one. The organisation's agents work with it.

  3. 03

Tell it where the data is

Genki reads the sheet or the software where you already keep it. If it is not organised, it creates the sheet with the columns it needs.

Where do you keep your client data?

    • In an Excel file
    • Holded, Odoo, A3, Sage…
    • It isn't organised

02Knowledge

  1. 04

    Load the Library

A collection with what the team looks up every day. If it is in a Drive or OneDrive folder, it is linked and kept up to date.

Firm guidelinesUpload your engagement letter, your accounting guidelines and the circulars you send out. The agent and the chat consult them before answering.
  2. 05

Create the voice of your firm

Explain how it should sound and give it your style guide and a few emails. The agents write with it.

    • The firm's voice

03Automation

  1. 06

    Set up the agents

Each one does one specific flow. You answer a few questions, one at a time, and review how it looks before creating it.

Document collection Files what each client sends in their folder and confirms it has arrived.

    What it asks you

    • Whose documents does it take?
    • How do you know which client it is from?
    • How are each client's folders organised?
    • Do you reply to the client?
Invoice register Logs each client's invoices in their ledger, after checking them.

    What it asks you

    • Where do you log purchase invoices?
    • What do you check before accepting an invoice?
    • If something doesn't add up…
    • When someone needs to be told, who is it?
  2. 07

    Schedule the tasks

What has to happen at a fixed time, without anyone having to remember.

Clients with missing documentsEvery Monday it tells you which clients have not sent this quarter's documents.

04Team

  1. 08

    Invite the team

Each person joins with their seat. They share the agents, the tasks and the Library, and have their own Genki for their day too.

  2. 09

    In the first week, fine-tune

Every run stays in its history, step by step. Whatever does not come out as you wanted is changed from the agent's page, without starting again.
